Location:  Allentown PA 

Working Hours:  8:00 am -5:00 pm ET

The Opportunity: 

You will be at the forefront of driving operational excellence in our regional center at Allentown PA. This is a great opportunity for someone who is energized by maintaining momentum on day-to-day processes while also working on multiple short- and long-term projects. 

What we need you to do: 

  • Manage BusPatrol’s Allentown office; oversee maintenance, ordering, repairs and control of furniture, delivery equipment and other supplies and shared spaces.  Support workstation allocation and office moves. 
  • Work closely with building Tenant Coordinator regarding parking facilities, maintenance requests and visitor control  
  • Potentially manage more junior staff 
  • Maintain security protocols including issuance and revocation of building and suite access cards, report camera outages or equipment failures, and report security incidents to appropriate management and internal partners 
  • Open and close the office daily and manage outgoing mail and deliveries 
  • Interface with HR around new employee on-boarding, including orienting new employees in the facility 
  • Ensure contracted services are completed as expected and report any issues to management, coordinate with vendors and contractors as needed 
  • Communicate important office updates, access changes and onsite requirements to employees onsite and remote management teams 
  • Coordinate safe return, take employee and visitor temperatures, and ensure general health and safety standards are met 
  • Ensure emergency safety protocols for office are metincluding fire and emergency evacuation safety drills and plan reviews as needed 
  • General clericalcorrespondence, and receptionist duties 
  • This role will require some level of physical effort as well as other responsibilities as needed 

What you bring: 

  • 5-7 years of experience in office management 
  • High School diploma requiredBachelor's degree is preferred 
  • Office management of facilities with over 50 employees at various levels of seniority up to and including leadership 
  • An affinity for process improvement, automation and making work easier 
  • Good command of MS Office Suite, especially Excel 
  • Good communication skills 
  • Independent and a self-starter 
  • Strong organizational skills and the ability to prioritize objectives 
  • Positivity, enthusiasm, exceptional customer service skills and a thirst for learning 
  • The ability to understand confidentiality of information 
  • Team leadership orientation and willingness mentor and guide junior staff 
  • Ability to support executive leadership
